ABOUT THE ROLE

Job Purpose

You will serve as an internal Junior People Business partner, delivering comprehensive People programs, initiatives and solutions to the functional areas of the organization in support of key business strategies. You will be a key member of the People team and responsible for providing human resources support for the Namibia branches and Factory. 

 

The Junior People Business Partner manages the day-to-day administration of the People office to support and contribute to the long‐term development of the People function as well as ensuring sound labour relations between employees and consistent application of company policies, standards, procedures and legal compliance. You will be required to work with local Finance on administration that supports payroll input.

 

Responsibilities:

 

Recruitment, Terminations and Talent Management

 

  • Manage the recruitment of all staff in accordance with the company policy as well as legal requirements.
  • Ensure all pre-approval staffing requests and staff amendments are processed for approval according to the authority schedule.
  • Ensure Job profiles are drafted for new positions, updated and reviewed for current positions in order to advertise positions.
  • Advertise approved staffing requests internally and externally.
  • Short listing of candidates based on minimum requirements, affordability, employment equity goals of the company and best fit profiles. 
  • Coordination of the interviewing process.
  • Draft, manage and collate all new employment documentation, including offer letters, contracts, and staff movements.
  • Ensure that all HR documentation for wages and salary paid employees are compiled, distributed and follow-up has been done before the stipulated payroll submission dates.
  • Support organizational change.
  • Ensure the successful delivery of multiple HR projects.

 

Disciplinary, Grievance, Incapacity & Retrenchment Process Control and Management

 

  • Evaluate all disciplinary matters and establish valid grounds for pursuing.
  • Advice and direct (not recommend) management on appropriate manner to deal with incidents.
  • Ensure that all actions advised on alleviate the company from any possible risk.
  • Coordinate and arrange all hearings ensuring that correct procedures are followed.
  • Monitor and analyse trends to ensure consistency and recommend any preventative and corrective measures on hotspots.
  • To keep incapacity (poor performance, ill health and absenteeism) matters rate at a minimum risk by daily review and follow-up of matters.
  • Ensure legal compliances are followed in all retrenchment procedures and effective coordination and facilitation thereof.

 

Adherence to Company Standards and Procedure, Legislative Regulatory Framework

 

  • Procedure compliance - Apply HR/IR policy consistently and according to procedure.
  • Legal compliance – Ensure that management practices are within the law confinements and that employee rights and entitlements are not compromised.
  • Administer and explain benefits to employees. Serve as liaison between employees and service provider.
  • Contribute towards the HR Report by accurately recording all appointments, terminations and amendments once finalised as well as updating the IR matters on the online system daily.
  • Support the submission of Employment Equity in line with Namibia legislation

 

 

Qualifications & Experience Required

  • Bcom HR Degree
  • Bsc HR degree  
  • Post graduate studies in related fields (added advantage) 

 

Education, Master, other certification:

  • HR related certification
  • Honors Degree added advantage.

Experience (years):

    • 1-2 years work experience in a HR generalist/various specialist role.
    • 1-2 years’ work experience as HR Administrator.
    • Understanding of the broader HR fields and critical linkages to the area of responsibility.
    • Demonstrable track record in leading various activities and fulfilled a supportive role to a change processes.
    • Good understanding of relevant frameworks, processes and support tools e.g. Success Factor

 

Technical Skills:

  • Basic understanding of HR and business 
  • Basic knowledge of labour legislation
  • Ability to communicate effectively, both through oral and written                   communication 
  • Advanced proficiency in Word, PowerPoint and Excel Reporting 
  • A keen eye for detail 
  • Ability to demonstrate good work ethics and high level of integrity 
  • Ability to work independently 
  • High sense of urgency 
  • Must be a team player 
  • Strong business acumen 

 

Languages Skills:

  • English
