Sales Administration Coordinator

Job Purpose
We are looking for a proactive, hard worker, self-motivated person able to coordinate the sales administration department, while maintaining an hands-on and operative approach for the daily activities s/he will be in charge of. To the role will have 3 direct reports
S/he will be responsible for:
- Guarantee the quality and the alignment of the Sales Division information and administrative systems to the Company strategies, in line with the valid procedures, flows and norms
- Upload data in SAP accurately, precisely and timely
- Develop in-depth knowledge of sales administration procedures and enforce sales administration standards for a better support to the sales activities
- Understand the impacts and the implications of the sales administration activities on Price Variance, Customer profitability, Company P&L, etc.
- Develop the team, by creating back-ups for the most important activities
- Support Finance Director in D&R maintenance and analysis
Main Activities
a. Sales Administration activities:
- Upload sales conditions for dedicated products in SAP;
- Management of Pre-Orders campaigns in SAP,
- Invoice corrections and issue;
- Ecotax management and relation with the consortium.
b. Rebates Management:
- Ensure an accurate and updated maintenance of the customer pricing conditions;
- Ensure the team generates, uploads and pays all the rebate agreements, adjusting the accruals to the corresponding customer objectives (units & amounts) and other variable factors (guarantees, past due, ‘in house share’ variation, quality of the P.O.S…), in line with the operative policy;
- Ensure a constant and accurate reporting on rebates according to the Organization requests;
- Soliciting Sales Departments to obtain customer rebate targets within the pre-established deadline;
- Provide information and explanations to internal and external auditors when required.
c. Sales Administration Office Coordination:
- Support her/his manager in the integration of the Sales Administration Department into the Company organizational structure, assuring a constant alignment to the commercial strategy in order to deliver the required added value and a constant understanding of financial impacts;
- Improve the current financial and administrative flows to the Organization requirements;
- Identify synergies that optimizes the efficiency of the available resources and minimizes the administrative costs and the execution times;
- Developing the teams in order (i) to create back-up for the main activities and (ii) to help and drive the growth of the resources of the teams;
- Taking responsibility for special projects related to the sales administration department (i.e. Ryoga, ad hoc, etc.)
Requisitions
Education: High School Degree/Master Degree
Professional Experience: at least 10 years experience in back-office departments with constant interactions with Sales and Finance depts. At least 3-5 years of people management experience. Automotive Sector Experiences will be considered a plus.
