ABOUT THE ROLE

Job Purpose

At our First Stop Santa Teresa workshop in Málaga, we are looking to hire an Administrative Assistant to provide administrative and operational support to the daily activities of the service center, ensuring the efficient management of documentation, customer and supplier service, and the accurate recording of information in our internal systems.

First Stop and Elma are subsidiaries of the Bridgestone Group in Spain. Together, we manage a network of approximately 46 service centers across the country, providing comprehensive automotive maintenance solutions.

First Stop specializes in tires and automotive maintenance services for both private customers and professional fleets. Our services include electronic diagnostics, preventive maintenance, tire replacement, brake and suspension services, timing belt replacement, clutch repairs, air conditioning servicing, and oil changes. We also have extensive expertise in tire management for both passenger and commercial vehicles.

Key Responsibilities

  • Perform general administrative tasks for the service center.
  • Provide telephone and face-to-face support to customers, suppliers, and business partners.
  • Manage and maintain documentation (delivery notes, invoices, contracts, purchase orders).
  • Assist with invoicing, accounts receivable, and accounts payable.
  • Enter and update information in internal systems and corporate tools.
  • Provide administrative support to the Service Center Manager and the operational team.
  • Coordinate with other internal departments when required.
  • Follow up on administrative issues and support internal audits.

Required Qualifications and Experience

  • Vocational Training Certificate (Intermediate or Higher Level) in Administration, Business Management, or a related field.
  • Previous experience in a similar administrative role.
  • Experience in industrial environments, workshops, the automotive industry, or service companies is considered an advantage.

Education

  • Intermediate-Level Vocational Training Certificate (or equivalent).

Experience

  • Minimum of 2 years of relevant administrative experience.

Technical Skills

  • Knowledge of Navision (Microsoft Dynamics NAV).
  • User-level proficiency in Microsoft Excel (data management, reporting, tracking).
  • Proficiency with Microsoft Office tools (Excel, Word, Outlook).
  • Experience in administrative processes and documentation management.
  • Strong organizational skills and ability to prioritize tasks effectively.
  • A valid driver's license is desirable.
