ABOUT THE ROLE

 

Job Purpose

The Senior HR Operations Specialist is responsible for overseeing HR Operations for South Africa, Botswana and Namibia by ensuring timely and accurate salary processing, compliance with statutory requirements, and the preparation and submission of various financial reports. This role will also be responsible for ensuring that the HRIS System (SuccessFactors) is up to date and accurate.

Key Responsibilities:

Payroll Processing

• End-to-end processing of monthly salaries.

• Ensure the accurate and timely processing of monthly salaries.

• Review and verify all necessary documentation for new hires from HR, ensuring proper recording in the payroll system.

• Maintain and update payroll systems, ensuring correct calculations of benefits and deductions.

• Stay informed of legislative changes and implement required updates in the payroll system.

HRIS

• Create, maintain and updating of employee records in HRIS (EC), ensuring accuracy and confidentiality of information.

• Updating and maintaining Org and Position Org charts.

• Support the enforcement of HR policies and procedures, ensuring compliance with labour laws and regulations.

• Identify areas within HR Operations for efficiency improvements and implementation of changes.

• Conduct regular audits on the system data integrity and accuracy.

Reporting

• Preparation of monthly payroll related journals

• Monthly payroll reconciliations (Payroll Control / PAYE / UIF and SDL)

• Prepare monthly payroll variance analysis.

• Prepare monthly leave provision variance reports.

• Prepare a monthly payroll to GL reconciliation (assist Finance with clearing of payroll related accounts)

• Prepare monthly 3rd party payments to provident funds, medical funds, etc.

• Managing of ESS and leave approvals.

• Distributing monthly pay slips for employees with no ESS access

• Prepare UIF claims for employees on maternity leave, extended sick leave, or permanent termination.

• Preparation of all required information relating to COIDA, EE and annual statutory audit requests.

• Generating reports on HR metrics such as turnover rates, employee satisfaction, and other key performance indicators.

Stakeholder liaison and or support

Liaising with internal (staff, management) and external organizations (3rd parties i.e.  SARS, Sanlam, etc) on queries related to eg. HR Operations and Payroll

Statutory Compliance & Reporting

• Submit monthly statutory reports, including EMP201 and UIF submissions.

• Complete and file annual and bi-annual tax reconciliations (EMP501).

• Complete and file annual COIDA return for all entities.

• Issue employee tax certificates (IRP5s).

• Stay up to date with all Payroll related taxes for the countries we are responsible for

Confidentiality & Additional Duties

Maintain strict confidentiality regarding all business-related matters.

• Perform any additional duties as assigned.

 

 

Qualifications & Experience Required

 

Education, Master, other certification & Experience:

• Relevant qualification or SAGE 300 People Academy certification or at least 5 years or more experience.

• Previous SA payroll experience is essential (Preferably strong SAGE VIP & People 300 payroll experience)

• Finance and HR experience.

• Knowledge of relevant labour legislation affecting HR administration (Taxation and all statutory legislation for these countries)

• Proficient in Microsoft Excel, Word, PowerPoint & Outlook
